After your registration, a room will be reserved bindingly for you at the Leonardo Royal Hotel Berlin Alexanderplatz from 23 (arrival) – 25 (departure) September 2015 unless you indicate otherwise. You will be able to check-in from 3 p.m. on your day of arrival. Please check out of your room until 12 a.m. (noon) on your day of departure.

The expenses for accommodation as well as for all organised meals during the conference are covered by the Alexander von Humboldt Foundation. Please note that all extra charges (e.g. for telephone, parking, room service, taxi) are at your own expense.

The expenses for all organised meals for you are covered by the Alexander von Humboldt Foundation. For research alumni advisors, organised meals start with the lunch buffet on Wednesday, 23 September 2015. For research alumni, the first organised meal is the welcome dinner (including welcome drinks) on Wednesday, 23 September 2015. The last organised meal for all invited guests is breakfast on 25 September 2015. Breakfast is available from 6:30 a.m. to 10:30 a.m. at the hotel restaurant. If you prefer vegetarian food or need any other special diet, please indicate so in your registration form.

WiFi Access in the Hotel

You will have free WiFi access in the hotel.


If you have to cancel, please inform Spreefreunde Agency immediately. We ask for your understanding that in case of cancellation after 31 August 2015 or non-attendance without prior cancellation, the Alexander von Humboldt Foundation will charge you the cost of your stay.

Travel Expenses

For Research Alumni:

The Alexander von Humboldt Foundation will reimburse participants with a lump sum calculated according to the costs of a train ticket, 2nd class, from the location of the host institution in Germany that has nominated the research alumni to Berlin.

For Representatives of Host Institution Administrations:

The Alexander von Humboldt Foundation can reimburse research alumni advisors for their travel expenses after the conference on request.

Invitation of Additional Persons

We ask for your understanding that the conference, including all conference meals, is open to invited guests only. However, your spouse is welcome to stay with you at the hotel for an extra double room supplement of 20 Euro per night to be covered by yourself. If you wish to take advantage of this opportunity, please indicate so in the registration form.

Conference Documents

You will receive the conference documents upon arrival in the hotel.

Name Tag

Upon registration, you will receive your name tag. Please wear it during the entire conference, it will make it easier for all participants to address each other.

Conference Language

The official language of the conference will be English.


We would like to inform you that a photographer contracted by the Alexander von Humboldt Foundation will be present at the conference. The photographs taken may be published by the Alexander von Humboldt Foundation in the context of information and public relations work as well as being published on the Foundation’s internal social network. They will not be used for commercial purposes. If you are not in agreement with the publication of photographs in which you feature, please inform us no later than 18 September 2015 by sending an e-mail to Spreefreunde Agency (
